Contract Template Admin
Click on the Contract Template Admin menu option to view, edit and add Templates.
View Template
To view a template, select a template from the drop down. The Active Indicator, Template Description and Template Code will display as well as several tabs.
General
The General tab displays the filters on the left. Check the box to make the filter Active.
Each of the Filter options correspond to one of the tabs on the template. If a Filter's Active box is checked, that means there are restrictions on that field on the template. For example, if the User Filter Active box is checked, click the User tab to view the list of users who have access to the template. This applies to all of the filter options.
NOTE: If there are options selected in the tabs, but the Filter box is NOT checked, the data will not be filtered. For example, if there are companies selected in the Contractee Companies tab, but the Contractee Company Filter is NOT checked, all companies will be eligible as contractees during contract creation.
The contract header, pricing, approval options, and decimal setting display on the right side of the General tab:
These selections show which fields will be available for selection when creating a contract and adding pricing. The Contract Approval Policy displays which approval process the contract templates will follow. The Contract Rate Numeric Decimal Scales shows the number of decimal places that can be entered on the direct/deviated rate for contract products and the Contract Value Percent Decimal Scale shows the number of decimal places that can be entered for percent values.
Preset Contract - if a preset contract is selected, when contracts are created using this template, the products, pricing, and other information is pre-filled and non-editable.
Date Range Type
Users
If the User Filter is Active, this grid will display a list of users who have access to the template. If the User Filter is not Active and no users are selected, this grid will be blank.
There are 2 options to limit visibility on the Users tab:
Requires Contract Ownership: If this box is checked, the user can only see contracts on the selected template which they created. They will not have visibility to contracts on that template created by another user.
Requires Contractee Visibility: If this box is checked, the user will only be able to see and create contracts where they have visibility to the contractee company or eligible distributor. For example, if Sysco Atlanta is not in the users visibility hierarchy, they won't be able to create contracts for Sysco Atlanta or view contracts for Sysco Atlanta on that template even if Sysco Atlanta is an eligible contractee on the template. They also wouldn't be able to add Sysco Atlanta as an eligible distributor on a contract.
Note that these options apply to each individual user row.
Products
If the Product Filter is Active, this grid will display a list of products available on the template. If the Product Filter is not Active and no products are selected, this grid will be blank.
Product Groupings
If the Product Grouping Filter is Active, this grid will display a list of product groupings available on the template. If the Product Grouping Filter is not Active and no product groupings are selected, this grid will be blank.
Lumpsums
If the Lumpsum Filter is Active, this grid will display a list of lumpsums available on the template. If the Lumpsum Filter is not Active and no lumpsums are selected, this grid will be blank.
Contractee Company Types
If the Contractee Company Type Filter is Active, this grid will display a list of contractee company types available on the template. If the Contractee Company Type Filter is not Active and no company types are selected, this grid will be blank.
If the Contractee Company Type is selected, this changes the records displaying on the Contractee Companies and Contractee Company Groupings tab to an EXCLUSION instead of an INCLUSION.
Contractee Companies
If the Contractee Company Type filter is NOT set and if the Contractee Companies Filter is Active: this grid will display a list of contractee companies available on the template. If the Contractee Companies Filter is not Active and no contractee companies are selected, this grid will be blank.
If the Contractee Company Type filter IS set and if the Contractee Companies Filter is Active: this grid will display a list of contractee companies which are EXCLUDED from the template. As an example, if the Company Type filter is set to Distributor and the Contractee Companies tab displays a record of Sysco Boston, all distributors EXCEPT Sysco Boston will be selectable as a contractee for that template.
Contractee Company Groupings
If the Contractee Company Type filter is NOT set and if the Contractee Company Groupings Filter is Active: this grid will display a list of contractee company groups available on the template. If the Contractee Company Groups Filter is not Active and no contractee company groups are selected, this grid will be blank.
If the Contractee Company Type filter IS set and if the Contractee Company Groups Filter is Active: this grid will display a list of contractee company groups which are EXCLUDED from the template. As an example, if the Company Type filter is set to Distributor and the Contractee Company Groups displays a record of All Sysco, all distributor groups EXCEPT All Sysco will be selectable as a contractee group for that template.
Distributor Companies
If the Distributor Company Filter is Active, this grid will display a list of distributor companies available on the template. If the Distributor Company Filter is not Active and no distributor companies are selected, this grid will be blank.
Distributor Company Groupings
If the Distributor Company Grouping Filter is Active, this grid will display a list of distributor company groups available on the template. If the Distributor Company Grouping Filter is not Active and no distributor company groups are selected, this grid will be blank.
Client Defined Fields
This displays a list of the Client Defined Fields defined on the selected template.
Letters
This displays the Letters that are available to download for contracts on the selected template.
