Amending a Contract

To amend an existing contract:

  • Locate and open the specific contract you wish to modify.
  • In the upper right corner of the screen, locate the “Actions” section.
  • Select the “Amend” option from the available actions.

Upon initiating the amendment process, the Version Information section in the contract header becomes editable. The following modifications can be implemented:

  • Contract Version Name
  • Product Portfolio-Addition or removal of products, Addition or removal of lump sum items
  • Pricing Structure adjustments
  • Distributor network modifications

Note: The Contract Version Name field in the Version Information section is version-specific and can be modified independently. Any changes made will apply exclusively to the current version of the contract.

IMPORTANT NOTE: When amending a contract, the Start Date and End Date will NOT be editable.

Click Save in the Actions section at the top right of the screen to save changes.

To cancel the amendment process:

  1. Locate and select the “Revert” option.
  2. A confirmation dialog will appear.
  3. Select one of the following options: a. Choose “Yes” to cancel the amendment and revert to the current contract version. b. Select “No” to continue editing the amendment.

This procedure ensures that users have the opportunity to confirm their intention before discarding any changes made during the amendment process.

Upon completion of the necessary modifications and when the contract is ready for review:

  1. Locate the “Submit” button in the interface.
  2. Click “Submit” to initiate the approval process.

This action will forward the amended contract to the appropriate personnel for review and approval.

Contract Version Nomenclature:

Upon submission of an amendment, the Contract ID is automatically updated to reflect its revision history. The versioning system follows this format:

  • R[x].A[y]

Where 'R' denotes Renewal and 'A' denotes Amendment 'x' represents the number of renewals 'y' represents the number of amendments

In this instance:

  • The Contract ID now displays “R0.A1”, indicating:
    1. This is the first amendment (A1)
    2. No renewals have occurred (R0)

Note: For contracts that have undergone neither renewals nor amendments, the Contract ID is appended with “R0.A0”.
