**__Invoice View and Edit__** The Invoice View screen can be viewed by clicking the Invoice ID hyperlink from a Claim, the Invoice Search or any of the Claim Search screens. The Invoice View displays the Invoice information, Action buttons and a Claims grid which lists all claims associated to that Invoice. {{:pasted:20240813-181853.png}} The Action buttons allow users with permissions to Edit, Submit, or create a New Claim on the invoice. ----- **Invoice - Add Notes & Attachment** On Invoice View, click the Notes & Attachment tab to add notes and/or attachments at the Invoice level. Any notes and/or attachments added at the invoice level will automatically display on the Notes & Attachments tab for claims created on that invoice. {{:pasted:20240813-181916.png}} Click the Add button located on the bottom left of the screen. {{:pasted:20240813-181955.png}} The Note Editor allows text to be entered and one to many attachments linked to that one note. Add a note, or copy and paste from another source. These notes can be formatted using any of the options displayed at the top of the note section. To add attachments there are a couple steps. 1. Click the Add Attachment button located at the bottom of the popup in the Action Bar section. An Upload Files button will appear in the Attachment section. 2. Click Upload Files to select a file. You can choose 1 to many documents at one once. {{:pasted:20240813-182058.png}} Once the notes and attachments are added, click Save. The text will display in the Notes & Attachments grid as it was formatted in the Note Editor. The attachments column will display a count of attachments associated with the note. {{:pasted:20240813-182239.png}} To cancel the action, click the Close button. Both the notes and attachment fields are optional. A note can be added without an attachment or an attachment can be added without a note. When viewing the Notes & Attachments on an invoice or claim, there is an Identifier column which gives information on where the note and/or attachment was added. If the notes and/or attachments were added at the invoice level, it will display the text "invoice". If the notes and/or attachments were added to a claim, this will display the Claim ID. {{:pasted:20240813-182537.png}} Click the Notes & Attachments row on the grid to view the attachment. This will open a non-editable dialog box with the notes displayed. Click the Download hyperlink to view the attachment. ----- __Edit__ Users with Invoice Edit permissions will have the ability to edit the invoice information. There are certain rules related to the fields which are editable on an Invoice. Click Edit to change the invoice header information. * No claims or All claims in Draft – ALL fields will be editable on the invoice. If there are claims created, any updates to the invoice start and end date will change the claim line dates so they fall within the new start/end dates of the invoice. If the original claim line dates fall within the updated invoice dates then the claim line dates will not be updated. * NO claims either Complete or Rejected – the Invoice Number, Date, Deduction Hint, Claimant, Start and End Dates are all editable. The Amount Requested is NOT editable once claims are submitted. * If one or more claims are Complete or Rejected – the ONLY editable field will be the Deduction Number Hint. ----- __Submit__ The Submit button will be enabled for users with permissions. Click Submit to submit all claims associated to the invoice. The total requested for all claims must equal the invoice requested amount to submit. If there is a claim associated to the invoice with a status of Hold, the invoice cannot be submitted until the hold is removed. ----- __New Claim__ Select New Claim to add a claim to the current invoice. This will open a contract search with default criteria of Claimable = True and Contract End Date greater than or equal to today's date last year. The default criteria can be removed to search for all contracts. Select the contract by either double clicking the contract row of highlight the contract row and click Select.
